How to Create a Cohesive Instagram Grid Without Starting Over Every Month
You spend a Saturday afternoon making content. It looks great. The colors feel right, the fonts are cute, the vibe is very much you. You post it and it looks amazing on your grid.
Then two weeks later you're back in Canva, you open a totally different template, pick a font that feels fresh, grab a new color palette because that other one was feeling “old” — and now your grid looks like it belongs to two different people.
The chaos isn’t totally a design problem. It’s also a system problem.
A cohesive Instagram grid isn’t about being a designer or having perfect taste. It’s about making a few decisions once and then sticking to them — so that every post you make from here on out feels like it belongs together, without you having to think about it every single time you sit down to create.
This post is your system. We’re going to cover the strategy first, then I’ll show you exactly how the right templates make this dramatically easier to maintain.

Part 1: The Grid Strategy (What Actually Makes a Feed Look Cohesive)
Before we talk about templates or tools, let’s get clear on what cohesion actually means — because it’s not “everything matches perfectly.” It’s recognizable. Someone should be able to scroll onto your profile and immediately get a sense of who you are and what you’re about.
There are four things that create that feeling:
1. A Consistent Color Story
This doesn’t mean every post is the same color. It means you’re pulling from the same small set of colors repeatedly. A warm cream background, a dusty terracotta accent, a soft sage green. When those three colors show up over and over, your feed starts to feel intentional even when the content itself is totally different.

2. Two (Maybe Three) Fonts, Used Consistently
Fonts carry more of your brand personality than most people realize. A clean sans-serif feels modern and approachable. A slightly editorial serif feels elevated. A handwritten accent feels warm and personal. Pick your combination and commit to it.
Where people go wrong: they pick a new “fun font” every time they feel like their content is getting stale. The fix isn’t a new font — it’s new content. The fonts stay.
The fix: One heading font, one body font, one optional accent. Saved in your brand kit. Done.
3. A Content Mix That Feels Like a Person, Not a Brand Account
This is the piece most people miss when they’re thinking about grid cohesion. Visual consistency matters — but so does content consistency. If your grid is 80% promotional posts and then suddenly a super personal life update, that tonal whiplash breaks the feeling of cohesion just as much as mismatched colors do.
The feeds that feel most bingeable — the ones you can’t stop scrolling — have a rhythm to them. Business value, personal moment, behind the scenes, business value, life update. You start to feel like you know the person.
The fix: Decide on a rough content ratio and plan your posts in categories, not one-offs. More on this in a minute.
4. A Template System You Actually Come Back To
A template system means you’re not starting from scratch every time. You have a set of go-to layouts — a carousel format for tutorials, a text-forward template for opinions, a life-update format for personal posts — and you rotate through them.
This is what makes your grid look cohesive over time without you having to consciously plan it. The templates do the visual heavy lifting. You just fill them in.
Part 2: The Real Reason Most Grids Feel Inconsistent (and It’s Not What You Think)
Here’s something I’ve noticed working with CEO moms building personal brands: the grid inconsistency usually isn’t a design problem. It’s a content identity problem.
When you’re not sure whether you’re a “business tips account” or a “life and motherhood account” or a “behind-the-scenes of running a business account” — your grid reflects that confusion. You swing between modes and the visual inconsistency is just the symptom.
The most cohesive grids I’ve ever seen belong to people who have committed to a very specific blend of content.
They’ve decided: I’m going to show my business AND my life, together, unapologetically, in a way that feels like one whole person rather than two separate accounts. I call this the soft pretzel approach—business and pleasure twisted together, warm and a little indulgent, impossible to put down.
When you know your blend, you know what to post. When you know what to post, you reach for the same templates. When you reach for the same templates, your grid looks cohesive. It all connects.
How to Build Your Cohesive Grid System: Step by Step
Step 1: Lock In Your Visual Foundation
Before you touch a template, make three decisions:
Your color palette (3–5 colors, hex codes saved in your brand kit)
Your fonts (heading + body, saved in your brand kit)
Your photo style — warm and lifestyle-y? Clean and minimal? Editorial? Whatever it is, commit. Your photos carry as much visual weight as your graphics.
Step 2: Define Your Content Categories
Pick 3–4 types of content you’ll rotate through. For a CEO mom personal brand, this might look like:
Business value — tips, tutorials, hot takes in your niche
Personal life — what you’re reading, watching, eating, experiencing
Behind the scenes — the actual work, the nap window hustle, the process
Monthly recap — a bingeable carousel mixing business wins and life moments
These categories become your content buckets. When you sit down to plan your month, you’re filling buckets — not staring at a blank calendar.
Step 3: Assign Templates to Each Category
This is the move that makes everything easier. Match each content category to a specific template or layout style so you’re never making a design decision from scratch:
Business value post → text-forward carousel or bold graphic template
Personal life post → photo-led post or lifestyle carousel
Behind the scenes → reel cover with bold hook text, or multi-photo carousel
Monthly recap → a dedicated carousel template with a consistent cover slide
Now when it’s time to post, you’re just choosing a category and opening the right template. The decision fatigue disappears.
Step 4: Post, Review, Repeat
After 4–6 weeks of using your system, pull up your grid and look at it as a whole. Does it feel like one person? Is the color story coming through? Are there any posts that feel off?
Adjust the template or the category mix if needed — but don’t blow up the whole system. Cohesion is built through repetition, not perfection. The goal is recognizable, not identical.

Before you post anything this month, make sure you can check all of these:
Brand colors locked in (3–5 max, saved in Canva brand kit)
Fonts decided (heading + body, saved in Canva brand kit)
Photo style consistent with your other recent posts
Content categories defined (3–4 buckets)
Templates assigned to each category
This post fits one of your categories before you make it
Grid preview checked before posting (Canva’s grid preview or Preview app)
